December General Membership Minutes

December 4, 2006 

Meting was opened by President Steve Wolff with the Pledge of Allegiance 

November Minutes – Have not yet been posted due to problems with Mr. Kershaw’s computer. A motion was made to postpone review of the minutes until they can be posted on the web page by Eileen Mannion, seconded by Rose Rossiter. Lisa has the minutes available in print if anyone wishes to review them tonight. 

Treasurer’s Report -   Current Balance

Of the available funds; monies must be set aside for scholarships, start up costs for next year and the banquet/picnic. 

Major outgoing expenses from last months total were the staff stipend payments. 

Student credits – All music Department trip payments are being handled through the high school this year. Rose needs a written request (or email request) to use student credits for a trip payment. She will the issue a check made payable to WDHS to the requesting parent/guardian. There was a problem with double use of credits for the California trip; it is hoped that this will alleviate that problem. 

We received a last minute notice last week of a meeting held by Mr. Wasilewski and Mr. Thompson from the BOE. Beginning in January, the BOE will be requiring all booster clubs to strictly follow the rules and regulations for such organizations.

            We will need to file a list of proposed fundraising projects with the student activities coordinator.

            All 50/50s and other raffles must be covered by an organization with a gaming license.

            Record keeping must be scrupulous and the potential for external audit exists at any time. This is another reason for changing the policy on how student credits are disbursed. 

Fundraising Report – Eileen Mannion reported that we sold 352 cheesecakes this year with 35 out of 88 families placing orders. Eileen thanked everyone for being so great with pick up planning. 

Citrus sale – Only 6 orders have been turned in so far and tonight is the deadline for orders. 

The Marching Band Quilt will be raffled off at the Holiday concert. 

January 20th will be the Wings Lacrosse night. The potential for this to be a fund raiser rests on the number of tickets sold. 

February/March plans include a Battle of the Bands and the annual Pasta and Pops dinner. 

April may be a good time to sponsor a Hollywood Night and possibly combine it with a Chinese Auction. 

June – Graduation – we had sold water and roses at graduation for the past 2 years with a good profit return 

The Choir is planning a Fralinger “Taste of Summer” fundraiser, an open mike night and a Rivershark night (either spring or September) 

Eileen has information on various candle fundraisers if anyone thinks there would be interest. Anyone with other ideas please feel free to discuss them with Eileen. 

Your continued support is essential!! 

New Business - Joint Band /Choir Banquet proposed event for the end of the year; would like to do it as a whole music department event. A committee was formed to investigate places, pricing, food options, and exact type of event. Committee members are: Dee Leonard, Judy and George Bockius, Steve Wolff, Darlene McKendry, and Terry Knapp.  

Election time is drawing near, 5 out of 6 executive board members are planning on retiring at the end of the year, and we need underclassman parents to step up to take leadership roles. 

Concession Stand Clean out for the season needs to be done; plan is to do this on Sunday December 10th from noon till? The water has already been shut off in the stand, so if possible bring some hot water with you. 

Holiday concert is scheduled for Tuesday December 19th; the band parents traditionally supply refreshments for this concert. We ask all families to donate either a baked good or some cold soda or water. 

Open Discussion – John from JMJ said that he shoots performance photos and group shots and he would be willing to do this as a fundraiser for next year’s cavalcade. He would come and take photos of the different bands at the show and have them available by the end of the night. He would need a commitment of pre-advertising of this service but would not require a commitment of band numbers or photo sales. John also said that he could do a photo calendar for a fundraising project. The pricing would depend on number of calendars ordered. He projected a 2-3 week turn around time to get the finished product together. This could either be done as a traditional calendar year or a school calendar year. It was felt that this was a great idea but to try to pull it off for sale as a Jan- Dec 2007 calendar would be too rushed, further follow up on this will be planned.
