February General Membership Minutes

February 5, 2007

Meeting was opened with the Pledge of Allegiance by Steve Wolff

Minutes from January were emailed to everyone’s email address, motion to accept as sent made by Joanne Tunis, seconded by Eileen Mannion

Treasurer’s Report:

We currently have    $$$$$ in the General Account

                                  $$$$$ in Student Credits

                                  $$$$$ in Available Funds

Payments made in the past month were for the senior dinner, the Wings Game and to Rowan University for field use. Upcoming expenses will include the band picnic and scholarships.

Credit request forms are now available; must use these forms to get credits for trips, etc. Rose has a listing of credits for band only; she will contact Dave Fiebig to obtain a list of choir credits.

Fundraising Report:

Tentative date for Pasta and Pops is March 3rd – Please check for emails regarding this.

March 23rd “Battle of the Bands” at WD Middle School $5.00 admission will be charged

April – Hollywood Night is getting too expensive, Eileen checked with Clancy’s but they won’t do this type of activity anymore, the last one was a favor to a family member and detracted from their normal business. The Girl’s Track Meet is scheduled for April 14th and we are hoping to be able to run the concession stand again this year.

May – Lots of activities but no fundraisers

June – Water and Flowers at Graduation, we will need to check into whether or not we would be allowed to do this if Graduation is moved inside at Riverwinds.

Eileen said the Pee Jays has been in touch asking about participation again next year, they also recommend that we try sampling their beef sticks, the cost $.60, sell for $1.00 and are hugely successful in many venues.

The quilt was raffled off at the Holiday Concert, $410.00 was raised and a Band Parent was the winner of the quilt.

Maureen Singiser suggested that we consider selling beach towels and beach chairs as a fund raiser. It was felt that this might go well, but concern was raised that a minimum order might be required that might make it unfeasible.

The question was raised as to whether or not Adelphias was owned by the same people that own Hollywood and if the deal would be the same. Eileen was going to check.

A suggestion was made that we consider selling seat cushions, the cheerleaders usually sell these and we would not want to compete with them. Also the booster club rules which are going to be enforced more stringently now require approval all the way up to the BOE level for fundraising and duplicate efforts are discouraged.

We currently have about $2,000.00 in spirit wear inventory.

Old Business

Wings Lacrosse game; this was a positive experience and a fun time. Steve picked up the video from the Wachovia Center featuring the band on the Jumbotron, it will be played at the end of the meeting for anyone who would like to stay and watch.

The championship jackets are being worn proudly by the band; there has been lots of positive feedback. It has been rumored that the football team likes our jackets more than their own. The girl’s track team also likes the jackets.

There is a possibility that the band will be performing in a St. Patty’s Day parade on March 10 or 11, no parade updates available tonight.

New Business

Audit Committee the yearly audit committee will consist of Joanne Tunis, Donna Brocco and Mike Wyatt. Eileen Mannion made the motion to approve this committee and was seconded by Anne Connor. The committee was approved by majority vote of the membership. Mike Wyatt will report back to the membership at the March meeting. The audit must be conducted between February 20th and March 5th. Jim Monsu raised the question whether auditing our own books was a conflict of interest. The bylaws call for a yearly internal audit. Steve said he would also invite Mr. Thompson or his designee to be present at the audit. Rose said that things are more streamlined now; more of the tracking is being done on the computer and is more accurate.

Band Picnic – Mike Wyatt contacted Caps in Vineland regarding the planned end of year band picnic. He is awaiting further emails from them. The quoted price is $17.00 a person and is all inclusive.  A possible date of Sunday June 10th was proposed for the picnic.

Music Department Banquet – the question was raise whether or not we had any additional information on this. Steve said the Mr. Atkinson and Mr. Kershaw are taking the lead on this and we will need to follow up with them.

Nominating committee report – Darlene McKendry, Dee Leonard, Eileen Mannion and Anne Connor formed this year’s nominating committee. They reported that they had received several “maybe” responses form eligible candidates. Donna Brocco and Dee Leonard will agree to nominations for 1st Vice President/Fundraising, Maureen Singiser will agree to the nomination for 2nd Vice President, Rose Rossiter agrees to the nomination for Treasurer. At this time there are no nominees for president, recording secretary or corresponding secretary. Nomination from the floor can be made at the March meeting prior to the election. Steve read the job descriptions fro all of the offices. Anne Connor asked if the executive board members have to work at all of the football games. The answer is no, but making sure the stand is adequately staffed is an executive board responsibility. The executive board meetings are held one hour prior to the general membership meetings unless special circumstances apply.

Motion to adjourn was made by Rose Rossiter and seconded by Joanne Tunis.
