WEST DEPTFORD BAND PARENTS GENERAL MEETING MINUTES January 3, 2005 Meeting opened by President Jan Anderson. December meeting minutes read by Geri Edwards. Motion to accept minutes by Louise Marzin and Lisa Wolff. Sandy DeVine gave treasurer’s report. New account opened for monies to be applied to the new concession stand. Student credits make up approximately $*. Future expenses include graduation scholarships, start up monies for next band season, and contributions for possible upcoming trip. Quilt raffle made $* and was won by Connie O’Donnell. Concession stands are now empty and contents stored in trailer. New grill was purchased. Senior dinner was held at Ed Houghton’s house and was a success. Jan read a thank you note from the Friar’s family. Bylaw amendments read by Jackie Wyatt. Vote was unanimous to accept the changes. Mr. Kershaw will post the bylaws on the web site. Upcoming fundraisers: Ø Beef and Root Beer tentatively scheduled 2/12. $7 adults and $5 under 10. WDMS 6pm-10pm. The band, Quixotic, will perform. Ø Winter Concert - Pops and Pasta scheduled 3/12. WDMS 6pm-9pm. Ø Basket Bingo to be tentatively held in June. Jackie Wyatt to chair with help from Louise Marzin and Darlene McKendry. Geri Edwards, Polly Neely and Eileen Mannion volunteered to be on the nominating committee for upcoming officer elections in March. A list of eligible voting members and members allowed to run for office was given to the nominating committee. Anyone interested in running for executive offices contact one of the above people. The nominations will be announced at the Feb. meeting and floor nominations will also be taken at that time. No more nominations will be taken after the Feb. meeting unless a position is without nominations. Voting will take place at the March meeting. A description of the office responsibility is located in the bylaws. Offices: PRESIDENT 1ST VICE PRESIDENT WITH FUNDRAISING 2ND VICE PRESIDENT TREASURER CORRESPONDING SECRETARY RECORDING SECRETARY Estena McGhee gave fundraising report. T-shirts, sweat shirts and jackets ordered and not picked up are with Estena. Hershey candy sale will be soon. Each student gets $26 credit per box sold. Sam’s club will give us a new grill when the old one is returned for warping. Ed Houghton spoke about plans for the new concession stand and had a preliminary sketch. He recently met with high school administration about plans and the need for all groups using the facility to follow specific procedures. The campaign to raise money and seek donations needs to start soon. Ed suggested we contact other groups that use the stands to inform them that they will not be able to use the existing stands this spring. Ed meets with architect in March. Plan is to have the stand completed by 9/1/05. Ed meets with the board next week for final approval. Ed gave a verbal list of materials that will be needed either by donation or purchase. They are as follows: concrete, wire mesh, reinforcements, block, mortar, lime, lumber (2x4, roof, plywood), paint for block filler, floor tiles, counters, shelves, cabinets, doors, electric supplies (switches, outlets), sink and plumbing supplies. The location of the stand will be near the current rest rooms. Ideas for fundraising monies were suggested, for example, donate $100 and get a brick with your name on it. The new bank account is titled West Deptford Band Parents-High School Concession Fund located at The Bank. Mr. Kershaw spoke of a possible band/choir trip this year to Florida. The trip will be band/music oriented. Tentative cost less than $*. Date: May 25, 26, 27, and 28 after the spring concert and before Memorial Day. The summer and fall band schedule has been posted on the web site. Ann Marie Wysoczanski thanked Ed Houghton for hosting the senior dinner. Jan announced that she has a pair of gloves left in the concession stand and Polly Neely has a jean jacket with painting on it found at the Sept USSBA cavalcade.
