WEST DEPTFORD BAND PARENTS GENERAL MEETING MINUTES June 7, 2004 Combined meeting of the WDBP/Choir re: music trip Meeting opened by President Jan Anderson. Mr. Atkinson explained the trip survey and the lack of parental response to the questionnaire. 30 forms were returned. He explained that it is not feasible at this time to entertain a trip. LA was #1 and Boston was #2 out of the returned forms. We will be working through the refund process. As of this date, we are awaiting to hear from the trip organization for a wire date to refund the previously paid deposits. PARENTS CAN REQUEST A REFUND BY EMAIL TO: sgdevine@comast.net Please indicate name the check is to be made payable to, address and phone #. Information will be forthcoming via email or handouts to the students. There was mention that some parents have asked if there was an option to donate back to the band the $80. There will be a full re-visit re: another trip at a later date. 8th Grade Parent voiced concern about the communication with the middle school. Web site was recommended. Jan’s email address also made available. Mr. Atkinson’s extension is 2219. Solo Ensemble for the Music Majors is June 8th. All are invited to attend to see 15 original compositions. Band Parents Bylaws were passed out for review for vote in August. Autism Research Walk is June 12th. School sponsored event. Report time 8am at the high school. Walk is at Cooper River Park. Jan suggested the WDBP donate $100. Joann Tunis and Geri Fontaine motioned to donate and a majority vote took place to donate $100 to Autism Research. Lake Kandle picnic was successful with approximately 100 people attending. Scholarships will be announced at graduation. Two scholarships each for $1000. Outstanding candy money: seniors will not get diploma unless monies turned in. Antiques Appraisal fundraiser made approximately $200 profit. Cavalcade on September 18th. Committees will be formed at the August 2 meeting. Location of that meeting is in question due to the parking lot construction at WDHS. Jan will try for the WDMS cafeteria. West Deptford Day: September 18th at Riverwinds. A group representing the WDHS Marching Band will be present for a dunk tank. This event is over by 4pm. Wildwood Firemen’s Convention also takes place on September 18th. The firemen supply the cavalcade with lighting. Jan will be looking into this. Second Cavalcade: October 23rd. This will be a fundraiser. Tractor: the band is in dire need of a functioning tractor to pull band equipment onto the field at all of the shows. Ed Houghton gave a description of the types of tractors used for this purpose and recommended the band parents consider a garden tractor. He was able to get a price for an unused red Troy-built garden tractor. The tractor has been at Lowe’s since last year. It’s a 24HP garden tractor. Lowe’s purchased the tractor for $*. It has a 2 year warranty and the nearest authorized dealer is Peach Tree in Glassboro. Lowe’s agreed to sell it to us for $*. The two current tractors belong to the school. The tractor has to be gifted to the school in order for it to be insured. A motion to purchase the tractor was made by Sharon Rutter and second by Debbie Latini. There was a majority vote to purchase the Troy-built garden tractor from Lowe’s for $*. Treasurer reported monies in the account. Ed Houghton addressed the membership and said that he is donating one-half of the cost of the tractor to the band parents, which is $*. Nite at the Races fundraiser: unable to legally use this as a fundraiser because in the state of NJ we are unable to give money prizes. Alternative event, Beef and Beer, has been tabled for a later date. Next meeting to be held on August 2, 2004. Motion to adjourn made by Gretchen Segado and second by Sharon Rutter.
