GENERAL MEETING MINUTES 

March 7, 2005 

Meeting opened by President Jan Anderson.

Minutes read by Geri Edwards.  Motion to accept minutes by Joanne Tunis and Darlene McKendry.

Fundraising Report given by Estena McGhee.

Ø      Outstanding sweatshirt and t-shirt balances need to be paid to Estena.

Ø      Hershey candy is gone and another order will be placed.

Ø      Art Auction possibly next year.

Ø      Band night – it was suggested that a second band night be added on July 16.  No food, just snacks and drinks with admission ticket price.  To be held at WDMS.

Ø      Beef and Root beer was a moderate success financially.  It was a great success with young turnout. 

Ø      Pops and Pasta is 3/12 at WDMS.  Performers are free.  Adults $8 and Students/Senior Citizens $6.  Senior citizen is 55 and older.  Mr. Kershaw has tickets.  This is a band/choir activity.  Sign-up sheets were passed around for desserts, volunteers to cook pasta in advance, set up crew, cooking/serving crew and clean up crew. 

Treasurer’s Report given by Sandy DeVine.  Sandy provided the current account balance, student credits, outstanding bills, scholarship money, trip donation and the need for start up money for next season.  She also provided info on the new concession stand account.  See Mr. Kershaw for individual student account money for the Boston trip.  Choir debt is paid.  Motion to accept the fundraising report by Steve and Deb Keen. 

New Business: 

Jan discussed the possibility of taking out an ad for the program book for the high school play, Les Miserables.  Barb Angelini made a motion to spend $100 for a full-page ad.  Mr. Kershaw will design the ad. 

New concession stand:  Ed Houghton spoke about the current status.  He met with the architect on March 1.  Drawings will be made and presented to the school then they will apply for permits.  Before the April band parents meeting, 7:30 pm, Ed will spray paint the actual layout of the concession stand on its new location for those wanting to visualize the plans.  So far, Ed has obtained donations from EP Henry (donation of all of the block), Rock Products (transport the block from Vineland to WD), and 2 exterior doors with locksets and 1 interior door.  Ed is still investigating plumbing.  Also, a company will donate one 10-foot roll up door if we buy one for the serving windows. 

Ed Houghton is running for the school board at the next election! 

Jan would like to have a group of people follow up with phone calls to the people on the donation mailing list.  Debbie Latini said there were 190 letters sent out.  Several were returned.  We need a list of the 190 businesses that received letters.  A discussion ensued. 

Ed Houghton proposed that next Monday, March 14, 7 pm, a meeting be held at the high school for anyone interested in helping with fundraising for the concession stand.  Fundraising events like selling blocks, bricks, etc.  Ed suggested there be 2-3 meetings per month from now to September. 

Mr. Kershaw discussed Pops and Pasta.  Performer report time 5:30 pm, doors open 6 pm, music starts 7 pm and ends 9 pm.  Boston trip needs a nurse.  There are open spots for students or parents wishing to attend.  Parents are not considered chaperones.  Two adults per room and 4 students per room.  People who originally signed up for the trip are responsible to pay unless someone else takes the spot.   

Basket Bingo:  date reserved 6/24. 

Darlene McKendry discussed a potential fundraiser “Kerry’s Kandles”.  They are 16 oz. and cost $5.25 each with a $4.75 profit.  Two week turn around time.  Recommended pre-sell before ordering.  She will investigate further. 

Elections:  Prior to vote, Debbie Latini withdrew from the ballot for corresponding secretary.  The recording secretary cast a lone vote because only one person was running for each position.

The new officers are:

President – Lisa Wolff

First Vice-President/Fundraising – Estena McGhee

Second Vice-President – Jackie Wyatt

Treasurer – Rose Rossiter

Recording Secretary – Eileen Mannion

Corresponding Secretary – Louise Marzin 

Jan Anderson gave parting words as president and requested both current and new officers be present at the April executive and general meeting.
