GENERAL MEETING MINUTES 

May 18, 2004 

Meeting opened by President Jan Anderson. 

Minutes from April meeting read by Geri Edwards.  Motion to accept minutes made by Cyndy Matson and Steve Keen. 

Treasurer’s report given by Sandy DeVine.  Motion to accept treasurer’s report made by Louise Marzin and Steve Keen.

Fundraising report given by Estena McGhee.

Cookie dough sale: 34 sold.

Blanket sale discussed by Geri and it was decided to be tabled until the fall.  We are unable to put cash out right now.

Hershey sale:  parents were reminded that there is still outstanding money.  

Band Picnic:  June 5th at Lake Kandle 12-7pm.  All students free.  8th graders and one parent are free.  All others are $6.  Tickets will be available.  WDBP supply rolls, hot dogs, hamburgers, condiments and soda.  Parents signed up to bring desserts and/or salads/side dishes.  It was decided that the picnic will go on rain or shine.  Jan will send out reminder emails closer to the event.

 Valero check:  we need to send them more info before the check will be released.

 Antiques Appraisal Show at Riverwinds:  WDBP will sell hot dogs, cold drinks, etc.  11am-3pm.  Sign-up sheet for volunteer helpers passed around.  Jackie Wyatt making arrangements.

 By-laws:  a copy with revisions was handed out.  Jan will make copy available via email so parents may review it.  The plan is for discussion at the June meeting.

 Acme Fundraising:  Lisa Wolff discussed Acme fundraising.  Acme will only allow items to be sold at the doors.  June 12th pretzel sale needs to be rescheduled due to conflicting date with walk-a-thon. 

 Walk-a-thon for Autism:  June 12th at Cooper River Park.  Community event for all kids to participate.  Buses will be provided to transport kids.  The band will march and play.

Mr. Kershaw will give brochures to students.

 Night at the Races:  July 19th at Deptford Elks.  Ed Houghton will be at next meeting.

 Band Camp:  Parents will go to Maryland on Wed., Aug. 25th for a mid-week visit.

 London:  trip cancelled. We are awaiting the refund of $* already paid out. There is a $* loss.  $* per person needs to be refunded to participants as directed by the high school administration. The band and choir is responsible to refund participants.  A lengthy discussion occurred related to the way in which refunds would be paid back to participants.  Jackie Wyatt will contact Gretchen Segado to encourage the choir parents meet to also discuss this matter.  June 7th is the next band parents meeting.  This meeting is open to all persons interested in hearing information on alternative trip plans. Organizations that gave donations for the London trip will receive thank you notes and will be notified of the trip cancellation.  They will also be told that the monies will be used for an alternative trip.   

Cavalcades:  Both competitions were approved.  Committees to work on the shows will be organized at the June meeting.

 West Deptford Day:  Sept. 18th at Riverwinds.  We will keep dunk tank and have the alumni run it.  Parents will be present.   

USSBA Cavalcade:  Home show.  Sept. 18th.  Band practice starts at 12 noon.

 Scholarships:  Currently, the WDBP provide two $750 scholarships.  These are given to students based on scores determined by the student’s participation.  Scholarships are announced at graduation.  A majority vote was made to increase to $1000 each starting this year.  Jan discussed adding a 3rd scholarship titled “Director’s Choice”.   This will enable students entering the music program late to be eligible for a scholarship.  Plan to vote on adding this 3rd scholarship during the Sept. meeting. 

 Quilt raffle:  Eileen Mannion will investigate raffle.

 Mr. Kershaw:  Newsletter was released. 

            Band Camp:  $185 due 8/10.

            Cadets:  rehearsals at high school Fri, Sat and Sun.

Concert:  5/25 including food drive (non-perishable items). 

Practices:  Mon, Tues and Wed.

Memorial Day Parade:  info. sheet was sent out with students. 

Lisa Wolff made a general announcement of support and thanks to Mr. Kershaw.
