West Deptford Band Parents General Meeting – 10/06/2008

·         Meeting was called to order at 8:05 pm with the pledge of allegiance.

·         Meeting minutes – Dee called for a motion to accept the meeting minutes.  Shannon and Mary first and seconded the meeting minutes.

·         No treasurer report this evening. 

·         Popcorn

o        Problems with the orders – it was sent to the school and rejected instead of being sent to Maria’s house.  It is supposed to be in route to us.

o        We are going to give the company 24 hours to track down the shipment.  If not they will return the money and give us certificates for a free subscription for magazines. 

·         Next fundraiser will be sent out via email since it starts before the next band meeting.  We may need to change some of the fundraisers around.

·         Friday is the homecoming game, we will need lots of volunteers unless it is raining.  Please be here if you can. 

·         Senior recognition will be at the Paulsboro game.  We will need LOTS of volunteers in the concession stand.  There will be lots of people at the game and it’s senior recognition night and the seniors parents will need to be on the field.

·         Pictures to be taken on October 18^th.

·         If you aren’t on Mr. Kershaw’s email list, click on the link on the web page to have yourself added to the list.

·         October 18^th Kingsway – we will be at the competition.

·         Nothing definite about chapters.  We think that it is currently being discussed at the TOB meeting.  We are going to proceed as if we will have chapters  at West Deptford.

o        Bathrooms were a big issue at the cavalcade.  We need to make sure someone is checking them often.

o        There will be 10 to 11 bands.

o        Dee will send around a signup sheet.

o        Programs for chapters – if you want to get ads, go ahead and do so.  We will use the same book and add to it.

o        Host band – should the concession stand be closed while our kids are performing during chapters? Yes, then come back and clean up. 

o        Baskets – draw early and put baskets in stand prior to our kids performing.

o        Are we going to order more programs than we had before?  Yes,  we will have more programs to sell and have some more ads.  We will need to get information from bands.

o        We may want to ask other bands if they would like to put shout outs in our book or pages for their kids.   

·         Thanksgiving weekend Soccer Tournament

o        Choir parents may not want to work the concession stand. If they opt out this year, it is our fundraiser from now on.  Choir parents will have a vote on it next week.

o        If we are going to work the concession stand for the soccer tournament and the football game,  we will need a lot of help.  We will need people to work Friday day and night (football), Saturday day and a half day on Sunday.  It will be broken down into shifts. 

·         Prop Crew – different than pit crew.  Dee will get with Mr. Kershaw to find out what is needed to help out with the props. There will be a practice for this at some point.  If you want to help out with the Prop or Pit Crew, there is a signup sheet on the  piano.

·         Concession stand – just show up.  No need to let anyone know ahead of time.  We will put you to work.  IF we have too much help, watch the game for awhile then help out at half time.

·         Band trip will be addressed at a later date.

·         See asked for a motion to adjourn the meeting.  Shannon and Mr. Monsu first and seconded the motion.
